How to Prepare a Deed for Recording in Jackson County

The Recorder’s job is to review and index documents presented for placement in the public record. The Recorder does not draft the deed or determine whether the legal transaction itself is valid.

Use letter-size paper. Missouri recording standards require 8.5 × 11-inch white or light-colored paper.
Print only on one side. Material printed on the back can be counted as another page and may create a non-standard-document charge.

Maintain at least 0.75-inch side and bottom margins.
Use at least 8-point type.
Use reproducible signatures. Signatures should be in dark ink with the corresponding typed, printed or stamped name beneath.
Put the document title and date on the first page.
Identify every grantor and grantee. Jackson County’s recording requirements state that marital status is required beside each grantor name.
Provide applicable statutory addresses. Instruments affecting real estate must include a mailing address for at least one grantee.
Include the legal description. A street address is not a legal description.
Include applicable prior book/page references.
Complete the required acknowledgment/notarization. Jackson County states that real-estate filings must be notarized with a full acknowledgment.
Calculate the current recording fee. Remember the August 28, 2026 first-page fee change.
Submit in person, by mail or through approved e-recording.
Do not copy the shortened legal description from a tax bill without verification. Jackson County specifically warns that a tax-bill legal description is not necessarily the complete legal description required for recording.
Recording does not make an invalid document legally valid. Jackson County expressly states that recording places a document in the public record; legal sufficiency remains the submitter’s responsibility.

Yes. Jackson County accepts electronic filings from banks, title companies, law firms, utility companies and other organizations using its e-recording process.

The county also states that electronic signatures and notarizations are accepted through e-recording, and electronic signatures/notarization can also be accepted through walk-in or mail filing under the county’s current procedure.

Missouri commonly uses a Deed of Trust as the recorded security instrument connected with a mortgage loan.

Paying off the loan normally does not create a new ownership deed. Instead, search for a later release or satisfaction connected with the Deed of Trust.

Search the borrower and lender names.
Locate the original Deed of Trust.
Save its recording number/book-page reference.
Review later release records.
Confirm that the release references the same Deed of Trust.

Consider legal assistance. A Recorder cannot cancel or adjudicate ownership simply because a homeowner disputes a recorded deed.

Use the parcel system before the Recorder when you only know an address. It gives you owner and legal-description clues before entering the document index.

How to Prepare a Deed for Recording in Jackson County

The Recorder’s job is to review and index documents presented for placement in the public record. The Recorder does not draft the deed or determine whether the legal transaction itself is valid.
